Reports to: Associate Vicar

Salary: £27,600 pro rata (dependent on experience)

Hours: 4 days per week / 30 hours (days includes some weekend working)

Job Purpose

The role of Atrium Manager reports to the Associate Vicar and works with the wider ministry team managing the Atrium team to facilitate the part it plays within the mission and ministry of Greyfriars Church to serving the local community and share Jesus’ love. The role includes line management of staff.

Together with staff and volunteers, create a vibrant and welcoming atmosphere for customers. To develop the Atrium team, environment, stock selection, sales offer, menu and customer experience, so that it is attractive and appropriate for a wide range of customers from inside and outside the church community.

To offer leadership and line management of staff of both bookshop and coffee shop. Ensure all staff/volunteers are fully trained in customer service, stock ordering, food hygiene and safeguarding training. Overseeing the team’s response to complex customer interactions.

Work with the Finance Manager to track progress against agreed budgets as set by the PCC (Greyfriars and New Hope Parochial Church Council).

SPECIFIC ROLES AND RESPONSIBILITIES:

Staff/Volunteer Management

· Follow church safer recruitment processes when taking on any staff and volunteers

· Lead team training including; till use, stock ordering, food hygiene standards, safeguarding (EPOS and Merlio) and develop barista/customer service skills in team

· Build and develop staff and volunteers through regular line management or volunteer meetings. Undertake appraisal and probation meetings in accordance with staff policy

· Ensure the smooth running of the Atrium, organising the rota so the team operates efficiently taking account of peaks/troughs in demand and planning for holidays (for staff and volunteers). Setting and maintaining healthy cross-cultural team dynamic

· Submit staff working hours for payroll, record staff holidays and manage sickness

· Train and delegate responsibility to the Supervisor(s), staff and volunteers for opening and closing and calibrating equipment

Customer Focus

· Promote the Christian ethos of the Atrium to the public and other churches in Reading

· Create a welcoming and safe environment for staff, volunteers and customers

· Work with suppliers to identify quality stock offering that appeals to a range of customers including; congregation, other partner churches, schools, etc.

· Effectively manage customer service issues or complaints; responding confidently to complaints and complex interactions by leading staff in best practice

· Lead the team in awareness of pastoral need of customers and guide team to seek help from other church staff as needed, maintain confidentiality and follow safeguarding procedures as necessary

· Plan for and lead the team in delivery of events, parties, including liaison with the Atrium Events Co-ordinator and Operations Team

Stock/Finance

· Work with suppliers and team to evaluate new lines product lines; books, gifts or food, responding to suggestions as appropriate

· Manage the Atrium, delivering to the budget as agreed by the PCC, monitoring sales, expenses and net position with a view to adjusting the running of the Atrium to ensure it meets or exceeds the targets and oversee the daily counting of takings

· Work with the Finance Manager to ensure accounting and cash handling standards are maintained. To maintain records as appropriate to the business including cash up sheets

· Oversee the operation of chip and pin machines and EPOS system (Merlio), ensure that all staff/volunteers follow accurate cash handling processes, reporting problems to the Finance Manager

· Oversee the storing and receipt of stock, ensuring accurate booking in, and to develop processes so stock is replenished in a timely fashion, working with the Finance Manager to agree timing of routine stock audits by the team

· Oversee ongoing management of stock against budget, including maintaining accurate levels and ensuring all on-site stock is correctly stored and preserved with appropriate stock rotation. Ensure old stock is discounted to sell on when appropriate

Food and Beverage Preparation

· Oversee the staff to prepare food and beverages in line with Food Hygiene, Health and Safety Standards. Maintain food safety and hygiene standards in line with the Atrium’s Food Safety Management System (FSMS) based on Hazard Analysis and Critical Control Point (HACCP) principles. Review the FSMS and relevant food safety documentation regularly

· Maintain a full understanding about menus including designing new menu items, offers and other operational information, including maintaining full allergy information and training of staff/volunteers

· Oversee staff/volunteers in preparing and serving hot and cold drinks to specified recipe standards, including the operation of bean to cup coffee machines

· Manage the implementation of all Food Hygiene Policy within the Atrium and advise and liaise with Operational team and congregation as requested

Checks, Cleaning & Risk

· Oversee and maintain operational procedures including; food safety temperature record sheets, stock rotation adherence, staff training records and a comprehensive food allergy document

· Manage the team to ensure a high level of appealing merchandise display and cleanliness is maintained, including kitchen and all stock storage areas

· Oversee standards of cleaning of all equipment in preparation for next use is undertaken by the team, in line with current environmental health regulations

· Update and maintain a risk register ensuring all staff/volunteers are trained and understand the correct use all equipment and substances

PERSON SPECIFICATION:

· Able to build the ethos of Christian service and guide team unity

· Well organised and able to prioritise their own and staff tasks

· Excellent communication skills and able to encourage others in developing their own

· Takes the initiative, works independently and adapts well to change

· Good attention and an eye for detail and able to build this in others

· Trustworthy

· Experience of working within a similar customer-facing environment with cash handling and or barrister / catering experience would be desirable

Work expectations

· £27,600 pro rata dependent on experience (4 days per week / 30 hours could be spread over 5 days, will require some weekend working). Additional hours as required to ensure cover opening hours.

· Line manage staff including: Bookshop Manager, Coffee Shop Supervisor and Coffee Shop Assistants

· 25 days holiday per annum pro-rata

· 3 month probationary period

· 2 months notice period after completion of probationary period

· The Atrium Manager may, from time to time, be required to undergo training relevant to the responsibilities above or related duties. Greyfriars Church will provide training in first aid, food hygiene and working with EPOS cash system etc.

· Attendance at staff meetings as required
